Administrative Assistant - Financial Services

GENERAL SUMMARY:   

The Administrative Assistant is responsible for setting the stage for excellent customer service for the student and/or parent and general correspondence and supply management of the Office of Financial Assistance.  Included in the duties are customer greeting (first point of personal contact for students and parents), answering emails to the general inbox for the office, managing incoming calls and faxes, office supply management, paper and electronic filing. 

 

PRIMARY DUTIES AND RESPONSIBILITIES:

 

35%  Answering general financial aid questions via phone and email or properly distributing phone or email questions to other financial aid personnel for response.

15%  Filing of student documents, creating files

15%  Greeting incoming students and parents                                                                                                                      

05%  Receiving and managing faxes                                                                                                                                

10%  Electronically filing and indexing financial assistance documents                                                            

10%  Reports, student record management.                                                                                

05%  Daily mail pick up & distribution.  Mailings to students                                                                                                                                                                                      

05%  Managing Office Supplies                                                                                                                                                   

 

 

MANAGERIAL/SUPERVISORY RESPONSIBILITIES:

N/A

 

EDUCATION AND EXPERIENCE QUALIFICATIONS:

 

High school diploma or equivalent required. Some college preferred.

Candidate should have excellent customer service, organizational, communication, and computer skills.  Excellent Microsoft Word, Excel, and Publisher required.

 

PHYSICAL REQUIREMENTS:

Occasional lifting of 25 pounds or more; occasional across campus walking; long periods of sitting.  Must be able to speak in a clear manner.

 

OTHER SKILLS AND ABILITIES:

 

Candidate should be able to operate office equipment including faxes, printers, and copiers.  Candidate should have professional demeanor and appearance, self-initiative, and be willing to work as a team player.
